The Dealers' Room
The Dealers’ Room is an integral part of any convention. Similar to Trade Exhibitors, it’s where both commercial (professional) and fannish (amateur) ‘Dealers’ display and sell SF&F related literature, clothing, merchandise, jewelry, armor, artworks – pretty much anything that may have a science fiction, fantasy or horror theme. As nearly all members of the convention will visit the Dealers’ Room at least once during their time at Convergence 2, you will not want to miss out on the opportunity to make known to the SF&F fans, your work or wares. Additional equipment such as power points and cabling, signage, A/V equipment will be arranged directly with the hotel. You should note your additional requirements on your reservation form or contact Convergence to discuss further. Open and Closing timesSet up is from 2pm Friday 8 June and 8am Saturday 9th June. The Dealers Room will be open to the convention members from 10am to 6pm Saturday and Sunday, 10am-2pm Monday. Access to the Dealer’s room will be unavailable outside of these hours. The Dealer’s Room manager will be the only person permitted to enter the area before or after lockdown and it is this person who should be contacted in an emergency. The Dealers Room must be vacated and cleared of stock by 4pm Monday 11th June, else a surcharge will be payable FreightRydges Melbourne will accept consignment of goods for the convention. These should be clearly labeled with the Dealer’s name and address, contact person and contact telephone number. Dealer’s may retrieve their consignment from the hotel Concierge upon arrival. Terms and conditionsIf bookings outweigh the available space, dealers who book more than one table, may have the number of their tables reduced. Convergence 2 will endeavour to make space available for all reservations so that the diversity of offerings is as large as possible. A waiting list will be put in place only if absolutely necessary No refunds will be given after 31 May 2007. The Dealers Room Pass which is allocated to each table entitles the bearer to work within the Dealers Room only and does not permit free access of the main convention area or attendance of panels or events. Each of the memberships assigned to a Dealer’s Table is transferable to other members of the dealer’s organisation, however only one person (or body) will be allowed into the convention at any one time Convergence will make every effort to ensure that the area is secure at all times but accepts no responsibility for loss through theft or malicious damage It is the responsibility of the dealer to ensure his or her goods are secure. Valuables (such as PDAs, laptops etc) and money should not be left in the Dealer’s Room unattended. Dealers advised to make appropriate arrangements in regards to insurance for their goods. Convergence 2 reserves the right to reject any dealers' room reservation it deems inappropriate to the purposes of the Australian National Science Fiction Convention (Natcon). The dealer agrees to indemnify Convergence 2 for any damage sustained to the venue during the event caused by the dealers activities. Convergence 2 reserves the right at its discretion to request the dealer to pack down and vacate the venue without notice or liability if it believes that the dealer’s activities will affect the smooth running of the event, its security or reputation. The dealer shall conduct activities in all respects in an orderly and lawful manner and in accordance with the terms and conditions attached to the use of the venue. Acceptance of your booking by Convergence 2 indicates your acceptance of all the conditions of this rate sheet. PaymentFull payment is due by 31 May 2007. Please make all cheques payable to: Victorian Science Fiction Conventions. All payments must be in Australian funds and cheques must be drawn on an Australian bank. For payment by Visa or Mastercard you must provide written authority with card type, account name, card expiry, charge amount in Australian Dollars, signature and date. We will collect a minimum of $20.00 service fee for each cheque or credit card payment that is returned to us unpaid. All invoices are nett 30 days.
